Ready-made rules to copy

Six rules that have proven themselves, ready to rebuild under Settings → Automations. How a rule comes together in the first place is shown in Creating your first rule; every available condition and action is listed in the reference.

The classic: worth reading, never urgent.

  • Condition: From contains newsletter@ (or more precisely per sender)
  • Actions: add tag “Newsletter”, Move to mailbox into the newsletter folder
  • Plus: Mark as read, so the unread counter stays quiet too

Sound and notification are skipped on their own when mail is filed away. A smart folder on the tag brings the collected issues back on demand.

  • Condition: Subject contains invoice (or From domain ends with the domain of the usual suspects)
  • Actions: tag “Accounting”, move to the “Invoices” folder

Come tax season, everything is in one place, across all accounts.

  • Conditions: From contains the address of your boss, the one of your biggest client and the one of your kids’ school, with the mode Any condition matches
  • Action: Set flag color to red (see Colored flags)

The important survives even a crowded morning inbox.

  • Conditions: From contains no-reply and Subject contains order (mode All conditions match)
  • Actions: Mark as read, move to “Orders”

The confirmation is there when you look for it, and never in the way.

For anyone testing forms or receiving service mail from themselves:

  • Conditions: From contains the service’s own sender address and Mailbox / folder is your inbox
  • Action: Move to trash

The folder condition matters here: rules run in every synced folder, and without it the rule would also hit your copies in “Sent”.

So contracts, receipts and photos don’t get lost in the history:

  • Condition: Has attachments
  • Action: add tag “Attachment”

A smart folder on the tag, combined with an account, gives you a quick filing place for all documents.
